SPCS is seeking a part-time Temporary Residential Education Program Assistant to provide administrative and operational support to our Residential Education team.

Reporting to the Residential Coordinator, you will support management of the residential components of the academic summer enrichment programs of Pre-Collegiate Studies.

Duties include administrative aspects of the recruitment and hiring of nearly 200 summer residential staff.

This team member will help ensure the necessary preparations and resources are in order for a successful residential experience.

The ideal candidate has past experience working in administrative settings or residential education, particularly with undergraduates or high school students, and has excellent judgment, integrity, flexibility, and creativity as well as a positive attitude, the ability to collaborate and consult, and a good sense of humor.

This position will support program needs that begin in January and will continue for as long as duties are assigned.

Your responsibilities include: Assist with confirming Housing and Dining details with Conference Services for twenty residences on the Stanford Main Campus.

Participate as a supportive member of the hiring team for residential summer staff, one of the largest projects to be completed before the start of the summer programs.

Responsibilities include: manage residential staff interview appointments, locations, and materials; manage correspondence with applicants; support correspondence with hired candidates and employees before and during the summer programs; oversee candidate reference and background checks.

Assist with administrative duties related to the management of 200 residential staff members.

Composing, formatting, preparing, and distributing routine communications and materials.

Collect and analyze data from multiple sources, prepare reports.

For example, manage distribution of student surveys to summer residential staff; collect and analyze survey results from staff trainings, participant surveys, mid-summer and end-of-summer staff surveys, and program incident report data; prepare end-of-summer reports; analyze participant data related to Arrival and Departure Day plans, accommodation requests, etc.

Contribute to identifying trends, needs analysis, participate in the implementation and testing of technology.

For example, support the updating, enhancement, and management of the residential staff employment website, online application, and the employment administrative webpage.

Contribute to development of marketing materials and strategies, assist in planning and developing programming activities, outreach functions.

For example, assist with the development and continuous targeted distribution of marketing materials (e.g, flyers, advertisements, job postings, etc.) for residential summer staff to departments and organizations across the country.

To be successful in this position, you will bring: A bachelor’s degree or a combination of education and relevant experience.

Advanced Microsoft Excel skills as demonstrated by ability to write and combine formulas to assess data Strong verbal and written communication skills.

Proficiency in computer skills and demonstrated experience with office software and email applications.

Demonstrated success in following through and completing routine tasks.

Exceptional customer service and interpersonal skills.

Strong organizational skills and attention to detail.

An ability to prioritize and multi-task.

An ability to learn new software applications quickly.

An ability to work with confidential information while showing discretion and professionalism.

Ability to learn and understand compliance with university policies and external regulations.

Ability to frequently sit and perform desk-based computer tasks and to perform other office-related tasks.

Ability to work independently and as part of a team to meet expected deadlines and schedules.

MS Office, Outlook, and Google Docs experience.
