Summary: Under supervision of the Director, Human Resources, responsible for running the daily functions of the human resource (HR) department including hiring and interviewing staff, administering pay, benefits, and leave, and enforcing company policies and practices.

Performs duties in accordance with company values, policies, and procedures.Please note: This position is an in-house role.Essential Duties and Responsibilities include the following.

Other duties may be assigned at the company’s sole discretion.

Maintains and expands knowledge and understanding of existing and proposed federal and state laws affecting HR management.

Identify trends and new developments that could impact organizational objectives.

Interprets HR policies, employment/labor laws, and regulations for internal client groups.

Performs routine tasks required to administer and execute human resource programs including but not limited to compensation, benefits, and leave.Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.Attends and participates in employee disciplinary meetings, terminations, and investigations.Additional Duties and Responsibilities for Benefits Specialist:All essential duties, and in addition:Provides support to employees with benefit questions and issues.Serves as liaison between ProSciento and all benefits plan providers/third-party administrators.Administers and communicates the company’s benefits programs regarding plan options, policy features, enrollment, and other requirements to all levels of employees, including new hires.Performs all data entry in PlanSource, sets up profiles for new hires, updates employee files per Personnel Action Form (PAF) requirements, and provides necessary reports to accounting.Reviews and approves benefits invoices.Leads annual benefits open enrollment process and communicationsCoordinates Aflac coverages with Aflac rep and current Aflac members.Updates monthly wellness plan employee list with insurance broker.Partners with payroll to ensure timely processing of benefit deductions and changesManages leave of absence administration including Family Medical Leave Act (FMLA), California Family Rights Act (CFRA), and Pregnancy Disability Leave (PDL) through third-party vendor, FMLASource.Directs workers’ comp claims per OSHA requirements.

Works with HR regarding any incidents requiring investigation and follow up.

Serves as an active member of the Intranet Committee.

Collaborates with executive team and HR regarding company events.Collaborates with administrative and quality assurance teams to create and maintain new hire orientation materials and training binders, including tracking of employees’ certifications.

Maintains staff CVs and job descriptions.May be tasked with assisting with recruitment related needs.

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Benefits Specialist Education and Experience:Bachelor’s degree in a related field and 3-5 years of related benefits and leave administration experience, or equivalent combination of education and experience.

Understanding of and experience with the principals of federal and state leave laws such as FMLA, CFRA, PDL, as well as Americans with Disabilities Act (ADA). Certificates and Licenses:PHR or PHR-CA not required, but strongly preferred. Skills, Knowledge, and Abilities:Excellent verbal and written communication skills.

Language Ability:Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Ability to write routine reports and correspondence.

Ability to speak effectively before groups and/or employees of organization. Math Ability:Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

Ability to deal with problems involving several concrete variables in standardized situations. Computer Skills: To perform this job successfully, an individual should have intermediate skills and knowledge of the current Microsoft Office Suite and applicant tracking systems. Work Environment:The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
