Job Overview

Terviva is seeking an Executive Administrative Assistant to serve in our Alameda, CA Headquarters. This position will provide administrative support for the Company CEO in a fast paced, highly collaborative working environment. We are looking for someone who can take the reins with this role, while learning and utilizing resources from other top Executives within our broad organization. This will involve heavy calendaring, administrative tasks, monthly reports, and organizing multiple events and special projects throughout the year. Serving as the primary point of contact for internal and external partners on all matters pertaining to the CEO, the Executive Administrative assistant must be able to produce high quality correspondence and detailed, accurate reports with an impeccable attention to detail.

This position will also provide analytical support for the CEO, independently investigating issues, compiling information, generating reports and briefing materials. As part of the corporate support team, this Executive Administrative Assistant will perform special projects to ensure that divisional goals and objectives are met, particularly in support of the CEO’s initiatives.

Outstanding interpersonal skills are needed as well for interfacing with senior management, company associates, partners and other external members of the Terviva team. Successful candidate will pass a rigorous background check.

Job Responsibilities

* Manage a complex company calendar using a high level of tact and integrity.
* Review and prioritize all company communications including emails and phone calls and general correspondence in in a timely manner.
* Handle administrative confidential/sensitive company and/or customer information.
* Experience with contract management, preparation, editing, file maintenance and storage.
* Make complex travel arrangements including air, hotel, and handle expense management.
* Coordination of internal and external meetings and events, including room reservation, catering, etc.
* Work in a team environment with other company members.
* Other duties may be assigned to fully meet the requirements of the position.

Skills, Competencies & Experience

* Minimum of 5+ years of executive administrative support experience within a large organization. Experience within a legal department, law firm, accounting or financial services firm preferred.
* High level of administrative and organizational skills, including impeccable verbal and written communications skills working closely with a senior management team.
* Fluent in Google Apps and MS Office, especially excel and other spreadsheet and similar analytical platforms.
* High level of integrity required for handling confidential and sensitive information.
* Demonstrated ability to work with a sense of urgency and under pressure as needed to handle multiple tasks and prioritize effectively between competing demands.
* Ability to interface effectively and diplomatically with partners, customers and associates across the world.

Education & Background

* Associate Degree; additional qualifications or certifications as an Executive Assistant are a plus.
* The candidate must be authorized to work in the United States without Visa support.
